Export documents are the starting point of every car export from the Netherlands. Whether you are a foreign dealer collecting stock in Almelo or a private buyer driving one car home, the Dutch registration has to be ended before the vehicle leaves. We do that at our RDW-approved export desk in Hengelo.
What you receive
- The buyer, or the person the export is registered to, receives the export certificate, also called registration certificate part II (kentekenbewijs deel II), plus the registration card with one corner cut off.
- The seller receives the indemnification certificate (vrijwaringsbewijs): proof that the Dutch registration has ended. Sellers keep it with their records.
After the export, the Dutch owner no longer has to insure the vehicle, keep a valid APK (Dutch roadworthiness test) or pay Dutch road tax for it. The RDW explains the procedure on its page Exporting a vehicle.
Buying from a Dutch seller as a foreign dealer
When a vehicle is sold to a buyer abroad, it is not transferred to that buyer in the Dutch register. The RDW advises that the buyer exports the vehicle in their own name. For a dealer buying several vehicles in the region, it works like this:
- You agree on the sale with the seller.
- You send us the registration numbers, vehicle types and the company name, address and VAT number of the buyer.
- We deregister each vehicle for export in the name of the person the export is registered to.
- You receive an export certificate per vehicle; the seller receives the vrijwaringsbewijs.
If you want your company name on the export certificate, that is only possible at an RDW location. We would rather tell you now than at the desk.
Registering the vehicle at home
What your registration office asks for depends on your country. Two examples:
- Germany: according to the ADAC, the registration office asks for the original foreign vehicle papers, an insurance confirmation (eVB), proof of purchase and proof of a valid HU inspection, among other things.
- Poland: according to gov.pl, a vehicle brought in from abroad must be registered within 30 days of arriving in Poland. For a Dutch car, the export certificate plus the registration card serve as the foreign registration document.
Keep both papers safe. For Germany, the ADAC describes registration without the original foreign papers as nearly impossible.
What to bring
Checklist
- Valid passport, ID card or driving licence of the person the export is registered to
- The Dutch registration card (kentekencard) with its registration code (tenaamstellingscode), or the old paper parts (part 1B and the transfer certificate)
- The Dutch yellow number plates (one plate for a motorcycle, scooter, moped, caravan or trailer)
- The current mileage
- The full foreign address of the buyer
- For insurance and plates: start date, destination and route, plus details of the policyholder and the driver
Source: RDW. For a business buyer we also need the company name, address and VAT number.
Where it can go wrong at the desk:
- No yellow plates. They are handed in. If they are missing, first have new plates made by a recognised plate manufacturer.
- ID of the wrong person. We need the ID of the person the export is registered to.
- No registration code. Bring the registration card with its code, or the old paper parts.
- Incomplete address. We need the buyer's full foreign address.
Price, time and payment
The export document costs from €50 per vehicle, including VAT where applicable. You pay in cash or by bank transfer. With complete papers, a standard request at the desk is usually ready in about 15 minutes.

Frequently asked questions
Can someone in the Netherlands arrange the export for me?
Yes. According to the RDW, a contact person in the Netherlands may arrange the export if the buyer cannot come. Contact us first so we can agree on the documents and details we need.
Can I arrange the export documents remotely?
Partly. Preparation can be done online, but the yellow Dutch plates must reach us physically, by post or courier. Processing starts once they arrive, and we send documents insured and with tracking, also abroad. Postal delivery costs more; you get the price in advance.
Do I need export documents if the car is transported on a trailer?
Yes. On a trailer or car transporter the vehicle usually needs no driving insurance, but the export document is still required.
Can you deregister vans, trucks and trailers too?
Yes. Besides cars we handle vans, commercial vehicles, trucks, motorhomes, caravans, trailers, motorcycles, scooters and mopeds. Heavy or non-standard vehicles are priced on request.
Can I reclaim Dutch BPM tax after export?
Sometimes part of the BPM can be reclaimed from the Dutch Tax and Customs Administration (Belastingdienst), under their conditions. We do not offer this as a service, so check the Belastingdienst page on BPM refunds yourself.
